HR Service Specialist – Workday

About the role

TL;DR

Support employees and managers in first-line HR service, using Workday to process onboarding, job and organizational changes, leave, and offboarding. You’ll manage HR cases, maintain accurate and confidential employee data, and resolve or escalate issues within service levels. The role suits someone with 2–3 years in HR operations or shared services, fluent English, and experience with Workday or another HR system.

As an HR Service Specialist with a focus on Workday, you will support employees and managers across employee lifecycle processes and provide first-line HR advisory support. You will use Workday or other HR systems to process HR transactions, maintain accurate employee data and ensure timely resolution of HR requests and cases.

Your key responsibilities

  • Providing first-line HR advisory support to employees and managers through HR service channels, responding to queries related to HR processes, policies, systems and employee lifecycle activities.
  • Supporting employee lifecycle processes in Workday or other HR systems, including onboarding, employee data changes, job changes, organizational changes, leaves of absence and offboarding.
  • Initiating, reviewing and processing HR transactions in line with defined business processes, approval workflows and service level agreements.
  • Maintaining employee records and ensuring the completeness, accuracy, consistency and confidentiality of HR data.
  • Managing HR cases and requests, documenting actions taken, monitoring progress and ensuring timely communication with employees and managers.
  • Guiding employees and managers on standard HR processes, Workday self-service activities and relevant policies or procedures.
  • Preparing and maintaining employee documentation, letters, templates and process records in line with company standards and compliance requirements.
  • Investigating transaction issues, identifying missing or incorrect information and coordinating corrective actions with relevant stakeholders.
  • Escalating complex, sensitive or non-standard cases to the relevant HR teams while ensuring effective follow-up and resolution.
  • Supporting continuous improvement of HR processes, data quality and employee experience.

Skills and attributes for success

To succeed in this role, you will bring strong attention to detail, a service-oriented mindset and confidence in working with HR data and processes. You are comfortable supporting employees and managers, managing multiple transactions and ensuring a high-quality HR service experience.

To qualify for the role, you must have

  • 2–3 years of experience in HR Operations, HR Shared Services, Administration or a similar employee support role.
  • Experience providing first-line HR support and administering one or more employee lifecycle processes.
  • Experience working with Workday or other HR systems.
  • Understanding of employee lifecycle transactions, including onboarding, employee changes, leave administration and offboarding.
  • Experience maintaining employee data and following defined business processes and approval workflows.
  • Strong communication and stakeholder management skills with a customer-focused approach.
  • Ability to manage multiple priorities while maintaining accuracy, confidentiality and meeting deadlines.
  • Good analytical and problem-solving skills.
  • Fluent English, written and spoken.

Ideally, you’ll also have

  • Practical experience with Workday HCM, Core HCM, staffing transactions, business processes or employee and manager self-service.
  • Experience working in a shared services, global business services or international environment.
  • Knowledge of HR data management, data quality and service delivery best practices.
  • Experience supporting process improvement, documentation management or knowledge management initiatives.
  • Proficiency in Microsoft Office tools, particularly Excel.
