Position Summary

We are seeking an experienced, highly organized HR Operations and ADP Workforce Now Specialist to support day-to-day human resources, payroll administration, and HRIS operations for our fast-paced, multi-location retail organization. This is a hands-on HR operations role that requires current, practical ADP Workforce Now expertise—not payroll experience alone.

The position plays a key role in employee onboarding, payroll support, HRIS maintenance, leave administration, employee records, benefits support, recruiting coordination, and general HR operations. The ideal candidate is detail-oriented, responsive, and comfortable managing competing priorities while supporting managers and employees across multiple locations. Experience with Workable ATS is strongly preferred.

You enjoy being hands-on and understand the pace and urgency of supporting a multi-location retail workforce. You can move confidently between ADP Workforce Now, Excel-based reporting and reconciliation, onboarding, leave administration, employee questions, and recruiting support. You take ownership, follow through, protect confidential information, and understand that accuracy and responsiveness are essential in both HR and payroll operations.

ADP Workforce Now and Payroll Operations

  • Support accurate and timely payroll processing for employees across multiple retail locations using ADP Workforce Now.

  • Review timecards, punches, PTO, overtime, commissions, deductions, and other payroll-related information for accuracy.

  • Identify, research, and resolve payroll discrepancies before processing deadlines.

  • Process new hires, terminations, compensation changes, transfers, promotions, and status changes in ADP Workforce Now.

  • Maintain accurate employee records, organizational data, and HRIS information.

  • Respond to employee and manager questions regarding payroll, deductions, timekeeping, PTO, and pay statements.

  • Assist with payroll audits, Excel-based reporting, reconciliations, and year-end processes.

  • Maintain strict confidentiality of payroll and employee information at all times.

Human Resources Operations

  • Coordinate new-hire onboarding and ensure all employment documentation is completed accurately and on time.

  • Process employee separations and other employment status changes.

  • Maintain complete, accurate, and well-organized electronic personnel files.

  • Assist with benefits enrollment, eligibility changes, and employee benefit questions.

  • Administer leave processes, including sending and tracking FMLA and disability paperwork.

  • Support workers' compensation, unemployment claims, employment verifications, and other employee matters.

  • Assist with HR compliance, recordkeeping, reporting, employee relations documentation, investigations, corrective actions, and other HR initiatives.

Recruiting and Workable ATS

  • Post and maintain open positions in Workable ATS and other recruiting platforms.

  • Track candidates through the recruiting and hiring process.

  • Coordinate background checks, offer letters, onboarding requirements, and new-hire start dates.

Required Qualifications

  • Minimum four years of professional HR, payroll, HRIS, or HR operations experience.

  • Demonstrated hands-on proficiency in ADP Workforce Now; this requirement is mandatory.

  • Advanced Microsoft Excel skills, including the ability to create and use VLOOKUPs and PivotTables; this requirement is mandatory.

  • Working knowledge of payroll practices, employee onboarding, leave administration, HR recordkeeping, and general employment compliance.

  • Strong problem-solving skills and the ability to independently research and resolve payroll and employee-data discrepancies.

  • Excellent organization, attention to detail, written communication, and verbal communication skills.

  • Ability to manage multiple deadlines in a fast-paced environment and handle sensitive information with discretion.

  • Willingness to complete practical ADP Workforce Now and Excel assessments during the selection process.

Qualifications

  • Experience processing or supporting payroll in a multi-location environment.

  • Experience with Workable ATS.

  • Experience in retail, telecommunications, hospitality, or another high-volume, multi-unit environment.

  • 2-4 years of HR Coordinator and HRIS systems experience

Education

Bachelor’s degree in Human Resources, Business Administration, or a related field preferred. Equivalent relevant HR, HRIS, and payroll experience will also be considered.

Compensation: $70-80K/ per year
