Talent Operations Specialist- Madison, NJ (Oracle)

Anywhere Real Estate

Madison, NJ, United StatesOn-site

About the role

TL;DR

This is a five-day-a-week, in-office role at the Madison, NJ Hub. You will own the Oracle recruiting platform, turn talent acquisition needs into system requirements, test workflows and quarterly upgrades, and improve hiring and onboarding processes. The role also covers background check exceptions, pre-adverse and adverse action steps, and Form I-9 compliance, and requires 3+ years in talent or HR operations.

We're looking for a Talent Operations Specialist who sits at the intersection of people, process, and systems. Reporting into the People Operations team, this role is fully responsible for supporting the Talent Acquisition team and driving a seamless onboarding experience. You will be the person who makes sure our hiring engine runs smoothly, owning the recruiting platform in Oracle, and playing a hands-on role in shaping how those tools work: defining requirements, testing new workflows, and ensuring compliance across the board.

If you like solving operational problems, care about clean data, and get satisfaction from turning a clunky process into a smooth one, this role will suit you. It is ideal for someone who is equally comfortable troubleshooting recruiter issues, partnering with technical teams on system testing, and collaborating across departments to support an employee-centered onboarding experience.

This is an in office role requiring you to be at our Madison, NJ Hub five days per week.

What You'll Do

Talent Acquisition Support

  • Working with hiring managers and business partners to initiate job requisitions accurately within our systems.
  • Update data and documentation to accurately reflect business decisions
  • Act as a connective point between Talent Acquisition, People Operations, IT, and Finance to support a synchronized, employee-centered onboarding experience.

Process Optimization

  • Drive continuous process optimization across the talent acquisition and onboarding lifecycle to eliminate friction and improve workflows.
  • Drive broad adoption of new processes and tools through clear communication, training, and ongoing support.

System Design and Testing

  • Translate complex talent acquisition business needs into clear, documented Oracle system requirements for the HRIS team to build against.
  • Support the rigorous testing of localized new enhancements and configurations.
  • Own functional validation and testing for quarterly Oracle upgrades, ensuring systems behave perfectly under real conditions before go-live.

Onboarding Compliance

  • Partner closely with the Onboarding Coordinator to actively support background check inquiries and manage exceptions with high discretion.
  • Oversee and process the pre-adverse and adverse action frameworks in strict alignment with compliance guidelines.
  • Maintain complete ownership of the Form I-9 verification process, performing regular reviews to ensure full compliance with federal law.

What You'll Bring

Required

  • 3+ years of experience in talent operations, HR operations, recruiting coordination, HR systems administration, or a closely related shared-services infrastructure.
  • Demonstrated experience converting operational workflow needs into clear, logic-based functional requirements and executing test plans before configuration changes go live.
  • Practical understanding of pre-employment screening guidelines, background verification procedures, and strict federal Form I-9 compliance parameters.
  • Comfort translating between non-technical talent acquisition stakeholders and technical HRIS teams in both directions.
  • Excellent written and verbal communication, with the ability to document clearly and explain the "why" behind workflow changes.
  • A process-improvement mindset—you naturally notice operational inefficiency and want to fix it.
  • Exceptional professional discretion and established capability to handle sensitive, confidential candidate records securely.

Nice to Have

  • Experience supporting or leading an Oracle Cloud HCM implementation, migration, or major quarterly upgrade cycle.
  • Strong mastery of data sorting, structured audit reporting, and analysis tools (e.g., advanced spreadsheets or BI tools).
  • Project management or process-mapping experience across multi-functional HR teams.

Why This Role Matters

The systems and processes behind hiring and onboarding are only as good as the person who tends them. In this role, your work directly impacts how quickly we hire, how seamlessly new employees integrate into our culture, and how compliant our screening processes remain. If you want to be the operational backbone of a growing talent function, we would like to hear from you.
