HR Systems Coordinator (SuccessFactors)

About the role

TL;DR

Join the HR Systems team on a six-month fixed-term contract, with hybrid working and up to two days from home. You’ll support and maintain SAP HR, handling first-line queries, user access, organisational management, data quality, reporting, audits, UAT and system changes. Proven database and HR systems experience is essential, along with strong Excel skills and experience supporting many internal customers.

This is a great opportunity to join our HR Systems team on a 6-month fixed-term contract in a varied and fast-paced role. You'll play a key part in supporting and maintaining our HR systems, primarily SAP HR, while helping to deliver efficient HR services across the business.

You'll be responsible for ensuring people data is accurate, secure and well maintained, providing first-line support for system queries, resolving access and employee data issues, and supporting reporting activities. Working across SAP, Excel and Power Query, you'll monitor data quality, investigate discrepancies and help ensure the information we provide is accurate, reliable and fit for purpose. You'll help improve processes to keep things accurate, efficient and compliant.

Responsibilities

  • Collaborate with project and tech teams to drive system changes forward, adhering to project deadlines and delivering milestones on time, including UAT and effectively communicated changes
  • Provide support post changes to resolve any system issues and optimise the HR system for continued effectiveness. Assist in system upgrades and enhancements as necessary.
  • Identify and implement improvements to HR processes and systems to enhance efficiency, compliance, and employee experience.
  • Deliver calendar events (including absence quota release, holiday carry over, legislative system updates and new functionality release)
  • Maintain Organisational Management including creating new Trade Counters, departments, locations and job & position maintenance
  • Manage appropriate system authorisations for users and ensure audit compliance to include accurate supporting matrix
  • Monitor user compliance to include data integrity and effective use of system, to include reporting on annual leave, sickness, data integrity and ad hoc audit reports
  • Offer assistance to different business areas in relation to any front line HR systems related issues
  • Record and extract data, using formulas and look ups to validate information
  • Prepare agreed regular and ad hoc reports for internal and external customers
  • Work with other internal departments in providing and supporting data for business use
  • Deal effectively with escalated issues and queries relating to the HR database, SAP products or integrations
  • Raising system defects and user issues with IT

Qualifications

  • Proven database experience is essential with SAP HR experience desirable
  • Proven background in a HR Systems environment is essential
  • Demonstrable track record in successfully managing a large number of internal customer relationships is essential
  • Previous experience handling highly confidential information is desirable
  • Background in driving process improvements is desirable
  • Prior demonstrable experience of analysing data, systems testing, reporting and audit
  • Proficient in MS Office programmes, particularly Excel
