About the role

TL;DR

This hands-on role is onsite Monday through Friday, 9:00 a.m. to 5:30 p.m., supporting HR operations across four entities and 250+ employees. You will own ADP Workforce Now, benefits administration, payroll coordination, compliance, onboarding, workers’ compensation, and employee support. Candidates need 5+ years of HR experience, strong ADP Workforce Now experience, and hands-on benefits leadership. Pay is $33.50 to $35.50 per hour.

The HRIS & Benefits HR Specialist is a hands-on, onsite role responsible for executing core human resources operations across 4 entities and 250+employees. This position plays a critical role in maintaining efficient HR processes, including benefits administration, HRIS management (ADP Workforce Now), onboarding, and employee support.

This role owns the administration of HR systems, benefits, compliance, workers compensation and the employee life cycle. The role will work directly with the onsite, Employee Relations and Recruiting Specialist, the remote HR Specialist, Payroll, department Managers and the HR Administrative Assistant.

Compensation: $33.50-$35.50 hourly

  • Monday- Friday
  • 9:00am- 5:30pm

Key Responsibilities

HRIS & ADP Workforce Now Ownership

  • Value accuracy, responsiveness, confidentiality, and operational excellence
  • Maintain and manage employee data in ADP Workforce Now
  • Process employee changes including hires, terminations, compensation, and status updates
  • Support payroll coordination and ensure data accuracy
  • Perform as a liaison between HR and Payroll
  • Troubleshoot system issues and serve as internal ADP resource

Benefits Administration

  • Administer employee benefits programs (medical, dental, vision, 401k)
  • Manage enrollments, qualifying life events, and employee changes
  • Coordinate and execute open enrollment process
  • Serve as primary point of contact for benefits-related questions
  • Partner with brokers and vendors to resolve issues

Compliance & Reporting Support

  • Support ACA compliance and reporting (1095-C data coordination)
  • Maintain accurate records for audits and compliance needs
  • Ensure proper documentation across employee lifecycle
  • Lead the annual Employee Handbook review with the COO

Onboarding & Employee Lifecycle

  • Manage onboarding process, including documentation and orientation coordination
  • Ensure I-9 compliance and new hire documentation accuracy
  • Coordinate offboarding, including final documentation and system updates

Workers’ Compensation

  • Assist with workers’ compensation claims administration and tracking
  • Coordinate with carriers and claim adjusters
  • Maintain written communication with employees and managers
  • Support the COO with document production as needed

HR Operations & Coordination

  • Maintain personnel files and ensure documentation accuracy
  • Support employment verifications and HR requests
  • Coordinate HR vendor invoices and services
  • Partner with HR team to ensure balanced workload and efficiency

Recruiting Support

  • Assist with interview scheduling and candidate coordination
  • Participate in interviews as needed
  • Support onboarding readiness for new hires

Required Qualifications

  • 5+ years of HR experience
  • Strong math, writing and editing skills for internal and external communications
  • Must have strong experience with ADP Workforce Now
  • Must have hands-on experience as the benefits administration lead
  • Multitask with strong attention to detail and organizational skills
  • Manage multiple priorities in a fast-paced environment

Preferred Qualifications

  • Must have California HR compliance experience
  • SHRM-CP or PHR certification
  • Experience in multi-entity payroll organizations
