TL;DR

Hays Electrical Services is seeking a Workday System Analyst to support both the implementation and ongoing optimization of our Workday HCM platform. Reporting to the Workday System Administrator, this role starts by supporting the active implementation — assisting with testing, data validation, documentation, and end-user readiness — and then transitions into the continuous improvement phase that follows go-live: identifying process gaps, resolving day-to-day system issues, building and refining reports, supporting release testing, and helping HR, Payroll, and business stakeholders get more value out of the system over time. This is a strong fit for someone who wants to build deep Workday functional expertise across a full system lifecycle, working closely with a senior administrator on a platform that will evolve well beyond its initial launch.

Key Responsibilities

  • Assist the Workday System Administrator and implementation partner with configuration tasks under direction, including entering business process steps, condition rules, and organizational data

  • Support data conversion activities: reviewing legacy data extracts, assisting with data mapping, and helping reconcile converted data against source systems

  • Build and execute test scripts for unit testing, system integration testing (SIT), and user acceptance testing (UAT); log defects and track them through resolution

  • Help prepare and validate parallel payroll and benefits testing materials

  • Support cutover and go-live readiness activities, including checklist tracking and coordination across HR, Payroll, and IT

  • Help develop end-user training materials, job aids, and FAQs ahead of go-live, and assist in delivering training sessions

  • Provide hyper care support immediately following go-live, triaging incoming issues and routing or resolving them as appropriate

  • Partner with the Workday System Administrator and HR/business stakeholders to identify opportunities to streamline business processes, reduce manual workarounds, and improve data accuracy

  • Analyze existing business process configurations (approval chains, condition rules, notifications) and recommend refinements to reduce cycle time and errors

  • Document current-state processes and pain points; translate stakeholder requests into clear, actionable configuration or reporting requirements

  • Assist in evaluating new Workday functionality (newly released features, additional modules) for potential adoption, including basic cost/benefit and impact analysis

  • Maintain a backlog of enhancement requests, prioritize with the System Administrator, and track progress through resolution

  • Build, maintain, and troubleshoot custom reports (Advanced, Matrix, Composite) and calculated fields to meet recurring and ad hoc HR, Payroll, and business reporting needs

  • Monitor scheduled reports and integrations for errors or anomalies; perform first-level troubleshooting before escalating to the System Administrator

  • Conduct regular data quality audits (e.g., missing data, duplicate records, business process bottlenecks) and recommend corrective action

  • Support HR metrics and analytics needs, including turnover, headcount, compensation, and compliance reporting

  • Support semi-annual Workday release testing: review release notes for relevant changes, build test scripts, execute regression testing, and document results

  • Participate in sandbox/preview testing of new configuration, integrations, or enhancements before production deployment

  • Assist with user acceptance testing (UAT) coordination for enhancement projects, including scheduling, tracking participation, and consolidating feedback

  • Serve as a first point of contact for Tier 1/2 Workday support tickets from HR, managers, and employees; triage and resolve routine issues, escalating complex configuration issues to the System Administrator

  • Maintain and update end-user job aids, FAQs, and training materials as processes change

  • Deliver informal training or refresher sessions to HR staff and managers on system functionality and process changes

  • Track recurring ticket themes to identify systemic issues or additional training needs

  • Maintain accurate documentation of business process configuration, report inventories, and enhancement history

  • Support adherence to data governance and security standards established by the System Administrator

  • Assist with periodic security and access reviews (e.g., verifying role assignments align with job function)

Key Performance Indicators (KPIs)

  • Test script completion: percentage of assigned unit/SIT/UAT test scripts completed on schedule (target: 100% by each testing milestone)

  • Defect documentation quality: percentage of logged defects with clear reproduction steps requiring no rework/clarification (target: 90%+)

  • Data reconciliation accuracy: percentage of assigned data conversion records reconciled without discrepancy against legacy source data (target: 99%+)

  • Go-live readiness task completion: percentage of assigned cutover/readiness checklist items completed on time

  • Hypercare responsiveness: average time to triage and route/resolve issues during the hyper care window (target: same business day)

  • Ticket resolution time: average time to resolve Tier 1/2 support tickets (target: within 1-2 business days)

  • First-contact resolution rate: percentage of tickets resolved without escalation to the System Administrator (target: 70%+)

  • Enhancement backlog throughput: number of enhancement requests moved from intake to resolution per quarter, and average cycle time per request

  • Report accuracy and turnaround: percentage of new/modified reports delivered accurately on first review (target: 90%+), and average turnaround time for standard report requests

  • Release testing completion: percentage of assigned regression test scripts completed on time for each bi-annual release, with zero critical post-release defects attributable to untested areas

  • Data quality trend: reduction in recurring data quality issues identified in quarterly audits (e.g., percentage decrease quarter-over-quarter)

  • Training and documentation currency: percentage of job aids/FAQs reviewed and updated within 30 days of a related process change

  • Stakeholder satisfaction: HR/manager satisfaction score with system support, collected via periodic survey (target: 4/5 or higher)

Qualifications & Skills

  • Bachelor's degree in Human Resources, Information Systems, Business Administration, or a related field, or equivalent combination of education and experience.

  • 2 years of experience supporting Workday platform including support, reporting, testing, or configuration exposure.

  • Prior participation in a system implementation, upgrade, or optimization project is a plus; candidates without implementation experience should demonstrate strong aptitude for structured testing and documentation work.

  • Working knowledge of Workday HCM Core navigation, business process framework, and basic security concepts.

  • Experience building reports in Workday (Advanced Reports, Matrix Reports; Composite Reports and calculated fields a plus).

  • Familiarity with Workday business process configuration (approval chains, condition rules) sufficient to assist with configuration under guidance and to identify and describe issues.

  • Comfortable supporting test script development and execution (unit, SIT, UAT) and documenting defects clearly

Preferred

  • Experience in an HR, Payroll, or HR Operations function is a plus.

  • Workday Pro Certification (or in-progress certification) in HCM Core or a functional module.

  • Exposure to Workday Studio, XML, or SQL.

Work Environment & Physical Requirements

Sedentary: While performing the duties of this job, the employee is regularly required remain a stationary position over 75% of the time, constantly operates a computer and other office productivity machinery which can include a copy machine or printer, frequently communicates with internal and external contacts, and must be able to exchange accurate information. The employee is occasionally required to move about inside the office to access file cabinets, office machinery, and handle up to 20 pounds (files or office supplies).
