Workday Analyst - Cross Application

About the role

TL;DR

Fully remote from Spain or Portugal, this role needs eight years of HRIS or technical systems experience and hands-on Workday configuration across multiple functional areas. You’ll own business processes, security, reporting, data integrity, releases, integrations, troubleshooting, and system improvements while working with international HR, IT, business teams, and vendors.

We're looking for a Workday Analyst - Cross Application to configure, support, and continuously improve Workday and other Colleague Resources systems. This role is central to ensuring system reliability, data integrity, security, and business process efficiency while helping teams maximise the value of Workday.

You'll manage Workday configuration across applications, optimise business processes, investigate technical and functional issues, and support releases, reporting, integrations, and system enhancements. Working with international HRIS, HR, Total Rewards, IT, business teams, and external vendors, you'll translate organisational needs into practical, scalable, and sustainable solutions.

Key Responsibilities

  • Configure, maintain, and enhance Workday modules, business processes, security, and related system functionality.
  • Review and implement new Workday modules, features, and updates while improving existing configurations and processes.
  • Identify opportunities to streamline and automate Colleague Resources processes through Workday enhancements and new functionality.
  • Investigate technical issues, unexpected results, and process weaknesses, identifying root causes and recommending effective solutions or alternative approaches.
  • Partner with HR, Total Rewards, IT, and business stakeholders to understand requirements, explain system capabilities and limitations, and translate business needs into system designs.
  • Manage the ongoing configuration, design, maintenance, and implementation of Workday and other Colleague Resources applications, including the preparation of configuration specifications and supporting documentation.
  • Maintain data integrity through periodic audits, reconciliations, mass data changes, and continuous improvement of business processes.
  • Ensure change management documentation, procedures, and internal controls meet audit and compliance requirements.
  • Participate in the review, testing, and implementation of Workday's biannual releases and other system releases or patches.
  • Assess the impact of new functionality, coordinate regression testing, and communicate system changes and benefits clearly to end users.
  • Develop and maintain custom reports based on stakeholder requirements, supporting regular reporting cycles, ad hoc requests, surveys, and internal audits.
  • Analyse HR data and provide meaningful information to support leadership decision-making.
  • Coordinate accurate data exchanges with benefits providers and other third parties, troubleshoot integration issues, and support the setup of new integrations when required.
  • Collaborate with third-party application management and technical management vendors to ensure functional and technical requirements are understood and delivered.
  • Contribute to special projects and broader HRIS initiatives as required.

The skills you will have when you apply

  • Strong Workday configuration expertise - hands-on experience configuring and maintaining Workday functionality across applications, including business processes, security, reporting, and data management.
  • Cross-application Workday knowledge - the ability to understand how Workday modules and processes interact, assess the wider impact of configuration changes, and support solutions across multiple functional areas.
  • HRIS and systems understanding - strong knowledge of HR systems administration, configuration principles, system controls, data integrity, and technical and functional support.
  • Business process improvement - the ability to identify opportunities to simplify, standardise, and automate processes while making effective use of Workday functionality and recognised best practices.
  • Technical troubleshooting and problem-solving - experience investigating system issues, unexpected results, integration errors, and process weaknesses, with the ability to identify root causes and recommend sustainable solutions.
  • Reporting and data capability - experience developing or modifying Workday reports, supporting data requests, performing audits and reconciliations, and using data to inform business decisions.
  • Testing and release management - experience assessing system changes, coordinating testing activities, supporting releases or patches, documenting outcomes, and communicating changes to end users.
  • Business analysis and stakeholder partnership - the ability to understand business requirements, explain system capabilities and limitations, develop practical solutions, and build effective relationships with Colleague Resources, Total Rewards, IT, vendors, and business teams.
  • Project and change management - strong organisational skills, with the ability to manage multiple priorities, contribute to complex projects, maintain accurate documentation, and meet deadlines.
  • Clear communication and international collaboration - excellent written, verbal, and presentation skills, with the ability to communicate technical topics clearly and work effectively in an international team environment.

Experience and education

  • Bachelor's degree in information systems, computer science, human resources, business administration, or a related field is preferred.
  • Eight years of HRIS or technical systems experience, including hands-on Workday configuration and support, or an equivalent combination of education and experience.
  • Experience supporting Workday across multiple functional areas, including business processes, security, reporting, data integrity, releases, and integrations, is strongly preferred.
  • Experience working with third-party vendors and collaborating with international, cross-functional teams is an advantage.

  • This role is fully remote and based in Spain or Portugal.
  • You will collaborate with international HRIS, HR, Total Rewards, IT, business teams, and external vendors across countries and time zones.
  • You will contribute to the reliability, continuous improvement, and effective use of Workday and related HR systems across the organisation.
