About the role

TL;DR

This standalone internal role owns the UKG HR system and day-to-day people processes, with full responsibility for data accuracy, workflows, reporting, training and system adoption. You will advise managers and employees on routine HR matters, support straightforward employee relations discussions, and maintain records, Right to Work checks, onboarding, time and attendance, holidays and probation reviews. It suits an autonomous HR professional with UKG or another HR platform experience who can spot issues, set priorities and escalate complex matters to external advisers.

We are looking for an experienced, organised and highly self-motivated UKG System Administrator & HR Advisor to take ownership of our HR systems and day-to-day people processes across the business.

This is a standalone internal HR role rather than a position within a traditional HR department.

The successful candidate will therefore need to be comfortable working with a high degree of autonomy, managing their own priorities and taking responsibility for ensuring that HR administration, employee records, compliance requirements and the UKG system are properly maintained.

You will be expected to identify what needs doing, establish priorities and follow actions through to completion without requiring constant direction.

UKG sits at the centre of many of our people processes, including employee records, onboarding, time and attendance, holiday management, probationary reviews and wider HR administration. You will become the internal subject matter expert for the system and will be responsible for ensuring it remains accurate, effective and properly used across the business.

Alongside UKG ownership, you will act as the first point of contact for day-to-day HR matters, providing practical guidance to managers and employees and supporting routine employee relations conversations.

The role is not expected to operate as a standalone HR Manager or employment law specialist. Anything beyond normal day-to-day administration, routine HR guidance and straightforward employee relations discussions will be supported by our external HR advisers.

This gives the successful candidate genuine autonomy within their area while providing access to specialist support when matters become more complex, sensitive or higher risk.

This role would suit somebody who enjoys both people and systems — someone who is comfortable advising a manager one moment, checking Right to Work compliance the next and then investigating a UKG workflow or reporting issue.

Above all, we are looking for a self-starter who takes ownership, uses their judgement and does not wait to be told what needs attention.

About You

This role requires somebody who is comfortable being the go-to person for day-to-day HR and UKG matters, rather than one member of a larger HR team.

You will need to be confident making decisions within your level of responsibility, setting your own priorities and recognising when something should be referred for external HR support.

You will ideally have:

  • CIPD Level 5, be working towards Level 5, or be able to demonstrate equivalent practical HR experience.

  • Previous experience within an HR Advisor, HR Generalist, HR Systems or similar role.

  • The confidence to operate independently in a standalone internal HR role.

  • A strong sense of ownership and personal responsibility.

  • The ability to identify issues and take action without waiting for detailed instruction.

  • Sound judgement and the confidence to know when something is routine and when specialist HR advice is required.

  • Experience providing practical HR guidance to managers and employees.

  • Experience supporting routine employee relations conversations.

  • Experience administering an HR Information System or substantial business database.

  • Experience with UKG, Kronos, Workday or another comprehensive HR platform would be a significant advantage.

  • A strong understanding of employee records, HR administration and compliance requirements.

  • Excellent attention to detail and a strong focus on data accuracy.

  • A logical and analytical approach to system and process problems.

  • Excellent organisational and time-management skills.

  • The ability to manage several competing priorities without losing track of important actions.

  • Strong communication and interpersonal skills.

  • Confidence delivering system guidance and training to employees and managers.

  • Strong Microsoft Office skills, particularly Excel, Outlook and Word.

  • A proactive approach to improving systems and processes.

  • The discretion and professionalism required when dealing with confidential employee information.

Experience within logistics, warehousing, an SME or a family-owned business would be advantageous but is not essential.

Key Responsibilities

UKG System Ownership

  • Take full day-to-day ownership of the UKG HR system.

  • Act as the company's principal internal UKG system administrator.

  • Maintain accurate employee information and high standards of data integrity.

  • Manage users, permissions, workflows and system configuration as required.

  • Proactively identify system issues, inconsistencies and opportunities for improvement.

  • Investigate system problems independently and work directly with UKG support where external assistance is required.

  • Maintain and continuously improve UKG processes across areas including:

    • Employee records and digital personnel files

    • Recruitment and onboarding

    • Time and attendance

    • Holiday and absence management

    • Probationary reviews

    • Performance management records

    • Employee relations documentation

    • HR workflows and approvals

  • Identify opportunities to automate or simplify administrative processes.

  • Maintain clear system documentation and process guides.

  • Produce HR reports and management information where required.

  • Work with managers and other departments to ensure UKG data is accurate and useful.

  • Monitor system adoption and take action where processes are not being followed correctly.

Day-to-Day HR Advice & Employee Support

  • Act as the first point of contact for routine employee and manager HR queries.

  • Provide practical guidance on company policies, procedures and standard HR processes.

  • Support managers with straightforward employee relations conversations.

  • Assist with routine absence, performance and conduct discussions.

  • Prepare HR correspondence and supporting documentation.

  • Maintain accurate records of meetings, discussions and agreed actions.

  • Monitor and support probationary reviews.

  • Help managers apply HR processes fairly and consistently.

  • Provide a visible, approachable and professional point of contact for employees.

  • Identify matters that fall outside normal day-to-day HR activity and refer these promptly to external HR support.

External HR Support

Walker Logistics retains external professional HR support for matters that go beyond routine HR administration and straightforward employee relations activity.

The UKG System Administrator & HR Advisor will work closely with this external support where required.

This may include:

  • Complex disciplinary matters.

  • Formal grievances and investigations.

  • Complex capability or long-term absence cases.

  • Redundancy or restructuring processes.

  • TUPE or significant organisational change.

  • Employment law queries.

  • Higher-risk employee relations matters.

  • Complex contractual or policy matters.

  • Any situation where specialist HR or legal guidance is appropriate.

The role will be expected to identify when external support is required, provide the necessary information and documentation, and help coordinate actions internally.

The successful candidate is therefore not expected to have all the answers, but is expected to recognise when specialist advice is needed and ensure matters are escalated appropriately.

Compliance & Employee Records

  • Take ownership of maintaining complete and accurate digital personnel files.

  • Monitor and maintain Right to Work compliance across the workforce.

  • Ensure important employment documentation is correctly recorded and retained.

  • Monitor probationary reviews and other required HR processes.

  • Ensure holiday, absence and time-and-attendance processes are properly managed through UKG.

  • Carry out regular checks and audits of employee information.

  • Identify missing, inaccurate or incomplete records and ensure corrective action is taken.

  • Handle all employee information sensitively and in accordance with data protection requirements.

Training & System Adoption

  • Take responsibility for increasing effective use of UKG across the business.

  • Provide UKG training and guidance to employees and managers.

  • Produce practical guides and training materials.

  • Support new starters and managers with relevant HR and system processes.

  • Identify recurring user errors and address them through training or changes to process.

  • Challenge unnecessary manual workarounds where UKG should be used.

  • Build confidence across the business in using HR systems correctly.

HR Process Improvement

  • Regularly review existing HR processes and identify areas requiring improvement.

  • Take ownership of implementing agreed improvements rather than simply identifying problems.

  • Challenge duplication, unnecessary administration and inefficient practices.

  • Help develop scalable HR processes that support future business growth.

  • Introduce practical improvements to record-keeping, reporting and employee administration.

  • Support wider business improvement projects where they overlap with people, data or HR systems.

  • Maintain an organised approach to outstanding actions and ensure issues are followed through to resolution.

Autonomy & Accountability

This role requires a high level of independence.

There is no internal HR department providing day-to-day supervision, so the successful candidate will be expected to:

  • Manage their own workload and priorities.

  • Maintain awareness of upcoming HR requirements and deadlines.

  • Proactively identify areas requiring attention.

  • Take action when records, processes or systems are incomplete or incorrect.

  • Develop solutions rather than simply highlight problems.

  • Keep senior management informed of significant issues.

  • Deal confidently with routine HR administration and employee relations matters.

  • Recognise where a matter becomes more complex or higher risk.

  • Engage external HR support promptly where appropriate.

  • Build effective working relationships with managers throughout the business.

  • Maintain organised records and demonstrate that actions have been completed.

  • Take genuine ownership of UKG and the company's day-to-day HR administration.

The successful candidate will have considerable freedom to manage their area, while knowing that professional external support is available when matters move beyond routine HR activity.

This role is therefore unlikely to suit somebody who requires frequent direction or prefers working within a larger HR team with clearly allocated tasks.

It will suit somebody who enjoys being trusted to own their area and make things happen.
