Workday Business Systems Analyst Contractor

Workato

Palo Alto, CA, United StatesOn-site

About the role

TL;DR

Six-month contract covering parental leave, with full-time US business hours. You’ll independently run and improve Workday for US Payroll and Benefits, including security, business processes, approvals, I-9/E-Verify, reporting, and production support. If approved, you’ll assess and lead the Philippines timekeeping move from ADP to Workday Time Tracking. Requires 6+ years of hands-on Workday experience and deep US Payroll expertise.

Responsibilities

We are seeking a senior, hands-on Workday Business Systems Analyst contractor to own the day-to-day operation and enhancement of our Workday environment during a parental leave coverage period (6 months).

This role is centered on US Payroll and Benefits, with responsibility for Workday security, business-process configuration, approval routing, I-9/E-Verify support, and production issue resolution. The contractor will operate with substantial technical autonomy, partnering with HR and Payroll stakeholders on policy decisions and escalating only material technical, architecture, or high-risk changes to Business Technology leadership.

In addition to operational coverage, this role may lead the end-to-end implementation of Philippines timekeeping in Workday Time Tracking if the initiative is approved following requirements and feasibility assessment.

In this role, you will also be responsible to:

  • Own daily Workday administration and operational support for US Payroll, Benefits, security, business processes, approval routing, and related employee lifecycle processes.

  • Diagnose, prioritize, and resolve production issues affecting payroll, benefits, employee data, approvals, access, and compliance-sensitive workflows.

  • Configure, test, document, and deploy Workday changes, including business processes, security groups, domain permissions, eligibility rules, reports, calculated fields, integrations, and approval routing.

  • Support US payroll operations in Workday, including payroll-cycle readiness, issue triage, configuration support, data validation, and coordination with Payroll stakeholders.

  • Administer and troubleshoot US benefits processes, including eligibility, life events, enrollment-related workflows, deductions, and vendor-facing operational needs.

  • Support I-9/E-Verify processes and related Workday configuration, reporting, and issue resolution.

  • Maintain appropriate Workday security and access controls; investigate permission issues and implement approved changes.

  • Partner with HR and Payroll stakeholders to translate approved policy or process decisions into reliable Workday solutions. HR and Payroll retain accountability for policy, eligibility, tax, and statutory-pay decisions.

  • Create and maintain clear documentation for configurations, releases, known issues, operating procedures, and transition handoffs.

  • Support Workday reporting and reporting-access needs as part of operational coverage.

  • Assess the feasibility, requirements, risks, and implementation approach for moving Philippines timekeeping from ADP to Workday Time Tracking.

  • If approved, lead the end-to-end Workday Time Tracking implementation, including requirements, configuration, testing, stakeholder coordination, deployment, and transition to operational support.

  • Coordinate with downstream system owners where an issue extends beyond Workday. Building or modifying Workato automations is not in scope.

What success looks like

  • US Payroll and Benefits processes remain stable, timely, and well supported throughout the coverage period.

  • Workday production issues are triaged quickly, resolved with sound judgment, and communicated clearly.

  • Security, permissions, and approval workflows remain accurate, auditable, and responsive to business needs.

  • HR and Payroll stakeholders have a reliable technical owner for Workday questions and change requests.

  • Workday changes are tested, documented, and released safely.

  • The Philippines Time Tracking initiative has a clear feasibility decision and implementation plan; if approved, delivery progresses without compromising payroll and benefits operations.

  • Knowledge, configuration decisions, and open work are documented for a clean handoff at the end of the engagement.

Requirements

Qualifications / Experience / Technical Skills

  • 6+ years of hands-on Workday functional, business-systems, or HRIS experience in a complex production environment.

  • Deep, practical experience supporting US Payroll in Workday; this is a core requirement.

  • Strong experience administering Workday Benefits, including eligibility, enrollment, life events, deductions, and related operational processes.

  • Demonstrated Workday security expertise, including security groups, domain permissions, business-process security, and access troubleshooting.

  • Experience configuring and supporting Workday business processes, approval routing, condition rules, notifications, reports, calculated fields, and integrations.

  • Working knowledge of I-9/E-Verify operations and related Workday processes.

  • Experience partnering with HR, Payroll, and technical stakeholders on sensitive, compliance-related system changes.

  • Authorized and available to work full-time in the United States during US business hours.

Soft Skills / Personal Characteristics

  • Proven ability to independently own production support, make sound technical decisions, and escalate appropriately when risk is material.

  • Strong documentation, testing, release-management, and stakeholder-communication skills.

Nice to Haves

  • Workday Time Tracking implementation experience, including schedules, time calculations, approvals, overtime or premium-pay considerations, absence integration, and downstream payroll flow.

  • Experience evaluating complex timekeeping requirements across shifts, holidays, leave, overtime, and local payroll considerations.

  • Experience with EIBs, RaaS, calculated fields, APIs, and Workday integration troubleshooting.

  • Experience leading an end-to-end Workday implementation or major functional rollout.

  • Familiarity with ADP timekeeping or payroll-adjacent integrations.

Scope boundaries

  • The contractor owns Workday technical operations and approved production changes.

  • HR and Payroll stakeholders retain decision authority over benefits policy, employee eligibility, payroll policy, tax treatment, statutory requirements, and other business-policy decisions.

  • The role does not require building new Workato automations.
